Situated in central Suva, BTR (Fiji) Limited delivers outsourced business services to overseas organizations, and our Australian client, Zweck Group, is seeking an experienced Operations Coordinator to join our Suva office.
Role Purpose
The Operations Coordinator supports the Operations Manager in the effective management, delivery, and continuous improvement of offshore operational support and administrative services provided to our Australian Client. This role plays a critical part in ensuring operational efficiency, high-quality customer service, strong governance, compliance, and people management across Team Fiji Operations and wider group services.
The role combines office administration, customer service oversight, people operations, audit readiness, and stakeholder coordination to support business continuity and operational excellence.
Key Responsibilities
Office & Facilities Management
· Manage and maintain office supplies and inventory, including ordering and restocking.
· Coordinate with vendors and service providers, including cleaning services, IT support, transport providers, and office equipment suppliers.
· Oversee office facilities, including scheduling maintenance and repairs as required.
· Maintain and update office policies and procedures to ensure a safe, compliant, and efficient work environment.
· Manage office communication channels, including email, phone, and mail.
· Ensure security and confidentiality of office documents, records, and systems.
Operations & Administrative Support
· Maintain and update office databases, records, filing systems, and operational systems to ensure data accuracy and integrity.
· Oversee Team Fiji ticketing systems and ensure efficient handling of operational requests.
· Assist with planning and coordination of company events, meetings, and operational activities.
· Build and maintain strong relationships with internal and external stakeholders.
· Support the Operations Manager in ensuring operational readiness, efficiency, and continuous improvement.
Customer Service & Contact Centre Support
· Handle inbound and outbound customer enquiries using contact centre systems and programs.
· Demonstrate excellence in customer service in accordance with BTR, client policies, procedures, and values.
· Maintain efficient control and monitoring of customer queues.
· Manage and resolve customer complaints professionally, in line with BTR and client guidelines.
· Conduct call quality audits and support refresher training initiatives to maintain service standards.
People Operations & Leadership Support
· Provide operational support to the Operations Manager in the management of Team Fiji Operations and people, including:
o Recruitment and onboarding
o Performance management and return-to-work processes
o Offboarding and exit processes
· Respond to employee enquiries and support employee onboarding, orientation, and training.
· Conduct audits and reviews relating to staff performance, disciplinary processes, and grievances.
· Support leadership initiatives that promote engagement, accountability, and performance.
Governance, Compliance & Audit
· Establish and demonstrate an ongoing commitment to compliance with OHS and Environmental legislation, standards, and all Zweck Group policies.
· Assist with subcontractor management administration and governance, including onboarding, compliance requirements, and audits.
· Conduct internal audits across group services functions and platforms as directed.
· Assist with internal and external audit schedules, including system and process audits.
· Support the Operations Manager in maintaining strong governance, audit readiness, and compliance across operations.
General
· Maintain systems to ensure all data is current, accurate, and compliant.
· Undertake any other relevant duties as required to support operational objectives.
· Act as a role model for professionalism, compliance, and service excellence.
Key Skills & Experience
Essential
· Experience in operations coordination, office management, or administrative support roles.
· Strong understanding of customer service operations and contact centre environments.
· Experience supporting people operations, including onboarding, performance management, and compliance processes.
· Strong organisational and time-management skills with the ability to manage multiple priorities.
· High attention to detail and commitment to data accuracy and confidentiality.
· Strong communication and stakeholder engagement skills.
· Understanding of governance, audit, and compliance frameworks.
Desirable
· Experience working with offshore or remote teams.
· Exposure to audit processes, quality assurance, or compliance environments.
· Experience with ticketing systems and contact centre platforms.
· Knowledge of OHS and environmental compliance requirements.
