Plantation Island Resort is seeking enthusiastic and customer-focused Reservation Agents to join our Reservations team and play a key role in delivering exceptional guest experiences from the very first point of contact. This role is responsible for handling accommodation reservations, responding to guest enquiries, processing bookings accurately, and providing timely and professional information about the resort’s facilities, services, and packages.

The ideal candidate will possess excellent communication and customer service skills, strong attention to detail, and the ability to work efficiently in a fast-paced environment. Previous experience in reservations, front office operations, or customer service within a hotel, resort, or tourism setting will be an advantage. The successful candidate will be highly organized, computer literate, and committed to ensuring a seamless booking experience while contributing to occupancy and revenue targets through effective reservation management and guest engagement.

Key Responsibilities:

  • Process new reservations, amendments, cancellations, and booking enquiries accurately and efficiently.
  • Ensure all reservations are entered correctly into the Property Management System (PMS), including guest details, arrival/departure dates, room types, rates, meal plans, transfers, and special requests.
  • Review reservation correspondence carefully to ensure guest requirements and booking details are accurately captured.
  • Maintain accurate guest profiles and reservation history.
  • Ensure reservation confirmations are issued within required response timeframes.
  • Respond to guest, travel agent, and internal enquiries in a timely, professional, and courteous manner.
  • Provide accurate information regarding accommodation options, resort facilities, dining options, transfers, packages, and policies.
  • Manage guest concerns, booking discrepancies, and service recovery opportunities professionally and efficiently.
  • Communicate confidently with VIP guests, key accounts, and travel partners while maintaining a personalised approach.
  • Understand room categories, rate plans, promotions, packages, and contracted rates.
  • Support revenue optimisation by identifying opportunities to upsell room categories, meal plans, and additional services.
  • Monitor availability and communicate any booking restrictions, stop sells, or inventory concerns.
  • Assist with upgrade, relocation, and overbooking situations as directed by management.
  • Demonstrate proficiency in hotel PMS systems such as Opera or Opera Cloud.
  • Maintain accurate reservation data and identify discrepancies requiring correction.
  • Utilise Microsoft Outlook, Excel, and other reservation tools effectively.
  • Ensure all booking information is complete, accurate, and compliant with company procedures.

About You:

  • Previous experience in hotel or resort reservations is essential.
  • Experience using hotel Property Management Systems, preferably Opera or Opera Cloud.
  • Strong understanding of accommodation reservations, room categories, rate plans, OTA channels, and travel agent bookings.
  • Experience handling guest enquiries, amendments, cancellations, and booking discrepancies.
  • Strong attention to detail with the ability to manage high volumes of reservations accurately.
  • Experience working in a fast-paced hospitality environment.
