The Role
Are you detail-oriented, organised, and passionate about delivering a smooth customer experience? Pepper Advantage Hub Fiji is looking for a proactive Settlements Officer to join our team and support the successful delivery of loan and shared equity settlements from start to finish.
In this role, you will work closely with brokers, clients, solicitors, and internal stakeholders to ensure settlements are processed accurately, efficiently, and within required timeframes. You will also play a key role in compliance checks, post-settlement administration, exit processing, and maintaining accurate records across internal systems including HubSpot and settlement trackers.
Key Responsibilities
- Settlements Administration
- Prepare and issue all required settlement and legal documentation
- Coordinate settlements with brokers, solicitors, lenders, and clients
- Review settlement conditions and ensure all outstanding items are satisfied prior to settlement
- Monitor settlement pipelines and provide regular updates to stakeholders
- Maintain accurate settlement notes and updates within HubSpot and internal systems
- Send follow-up emails and provide status updates to brokers and clients
- Conduct phone calls with brokers, solicitors, lenders, and clients where required
- Escalate urgent or complex matters to management promptly
- Ensure settlement tasks are completed within agreed service levels and turnaround times
- Post-Settlement Administration
- Complete post-settlement processing and file management
- Set up direct debit payments through PayWay/Easylodge
- Prepare and send settlement confirmation letters to clients and brokers
- Ensure all settlement documentation is stored correctly and compliantly
- Update settlement trackers and completed workflow records
- Compliance & Quality Assurance
- Conduct monthly compliance reviews on selected settled deals
- Review files to ensure documentation is complete and compliant with internal policies and procedures
- Identify missing documents, discrepancies, or process gaps
- Assist with audit preparation and operational reporting where required
- Maintain confidentiality and comply with company compliance obligations at all times
- Exit & Shared Equity Processing
- Review and analyse estimated Shared Equity (SE) exit calculations
- Prepare and finalise exit payout calculations
- Coordinate with solicitors and stakeholders regarding discharge and exit settlements
- Track outstanding requirements for exits and ensure timely follow-up
- Assist in preparing settlement figures and discharge documentation
Skills and experience required:
- Candidate needs to be flexible in terms of working hours.
- Previous experience in settlements, mortgage administration, loan processing, or banking operations
- Strong attention to detail and organisational skills
- Excellent written and verbal communication skills
- Ability to manage multiple files and deadlines simultaneously
- Experience using CRM systems such as HubSpot or similar platforms
- Strong Microsoft Office skills, particularly Excel and Outlook
- Ability to work independently and within a team environment
- Experience in shared equity, mortgage lending, or financial services
- Understanding of loan documentation and settlement processes
- Experience working with brokers, solicitors, and lenders
- Knowledge of compliance and post-settlement processes
- High level of accountability and ownership of tasks
- Positive and collaborative team attitude
- System and Platforms such as: HubSpot CRM, Microsoft outlook and Excel, PayWay, Easylodge
