Job Description & Skills/Qualifications Required

The position of Executive Officer assists with all logistical and administrative aspects of MoSI at the Executive Support arm of the Ministry of . The position assists Director in ensuring that all activities are facilitated in an effective manner.

Key Responsibilities

i. Provide comprehensive secretarial and administrative support to the Permanent Secretary, Director, including record-keeping, maintaining in-confidence files, attending to enquiries, and scheduling appointments and meetings.

ii. Organize and support all meetings (local and overseas), including drafting minutes, preparing meeting documents, and coordinating logistics with internal and external stakeholders.

iii. Proactively tracking, following up, and providing timely updates to the Permanent Secretary, Director on all actionable tasks assigned to various officers, ensuring deadlines are met, progress is monitored, and any issues or delays are promptly communicated for resolution.

iv. Effective and efficient management of all internal and external correspondences with creation of database for tracking, reference and easy retrieval.

 

Knowledge & Experience

  1. i. At least 2 years of work experience in providing support and secretarial services for executive management.
  2. ii. Proven experience in effective management and maintenance of Records, Correspondence and Filing systems, both manually and electronically.
  3. iii. Knowledge and experience in organizing travel itineraries locally and overseas, liaising with Travel agents and other relevant stakeholders.
  4. iv. Understanding of the Fijian Constitution (2013) and relevant policies, legislations, regulations or applicable laws of Fiji.

 

Skills & Abilities

  1. i. Strong interpersonal skills and the ability to build relationships with stakeholders; Good report writing skills with an excellent ability to communicate effectively.
  2. ii. Proficient in Microsoft Windows and Office applications, including Word for documentation, Excel for data management, and PowerPoint for presentations
  3. iii. Strong organization skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

 

Additional Information

Applicants for employment in the Ministry of Sugar Industry must be Fijian Citizens, under the age of 60, in sound health, with a clear police record. The successful applicant will be required to provide a medical certificate and police clearance as a condition of employment.
