Executive Officer (Administration) (Ministry of Women, Children and Poverty Alleviation)

Job Description & Skills/Qualifications Required

The main responsibility of this role is to provide administrative assistance, adequate planning, support, and monitoring of the Ministry's assets, residences, fleet, and registry in accordance with legal requirements and operational standards

 

 

Key Responsibilities

1. Manage and oversee subordinate staff in the board of survey, office space, transportation, and registry to make sure all support staff members are performing and completing assigned tasks on time.

2. Maintain and update vehicle management system and record book in accordance with policy requirements.

3. Manage and keep up efficient systems for keeping track of all assets' records, fleet, stationery, and accommodation and registry records.

4. Provide administrative and secretariat support services to Senior Management when required.

5. Oversee the proper operations of the Warehouse to ensure services provided are cost effective and compliance.

6. Collate and compile timely sections reports to management.

7. Actively contribute to the Corporate requirements of the ministry including planning, budgeting and corporate activities

 

 

Knowledge & Experience

  1. At least 18 month's’ work experience providing administrative assistance, adequate planning, support, and monitoring of the Ministry's assets, residences, fleet, and registry.
  2. Demonstrated understanding of all fleet management operations and associated procurements.
  3. Data analysis for reporting purposes, running sheet reconciliation and balancing, vehicle logbook updates, and monthly and quarterly reporting.
  4. Demonstrated experience of conducting board of surveys and delivering insightful results to aid in decision-making
  5. Demonstrated Knowledge of the administration, asset management, housing, registry, financial management, and transport policies and procedures in the public sector.
  6. Understanding of the Fijian constitution (2013) and applicable public sector policies and procedures.

  1. Proven ability to effectively communicate and navigate complicated circumstances within the necessary legal framework.
  2. High attention to details and accuracy.
  3. Ability to lead teams, taking initiative, and meeting deadlines in order to support the operations of a complex organization.
  4. The ability to monitor subordinates and offer coaching and mentoring.
  5. Proficient computer skills with the capacity to utilize tools programs analyse reports to support the operations of complex operation in a sensitive environment.
  6. Service oriented approach with a commitment to serving the public, line ministries, government agencies and stakeholders.

 

Additional Information

Applicants for employment must be Fijian Citizens, under Age 60, in sound health, with a clear police record.
