The Role 

Pepper Advantage Hub (Fiji) is seeking for someone who operates as an extension of the CEO, someone who understands the business well enough to make smart, independent decisions about how his time is spent, and what gets prioritised. This is not a traditional EA role.

You will be working in a fast-moving environment, supporting a Group CEO who operates across multiple geographies, external partners, investors, and a senior leadership team. You will need to be one step ahead. Anticipating needs, removing friction, and ensuring the CEO's focus stays on what matters most.

Key Responsibilities

  • Diary & Time Management
    • Own the CEO's calendar end-to-end — proactively protecting time for strategic priorities and filtering requests accordingly
    • Ensure every meeting has a clear purpose that maps to business priorities — no meeting exists without a reason
    • Manage scheduling across multiple time zones (UK, Ireland, India, US) without losing track of the moving parts
    • Prepare daily briefings and ensure the CEO is prepped before every commitment
  • Communications
    • Handle a high volume of inbound messages with speed and judgement, escalating only what genuinely needs his attention
    • Engage confidently with stakeholders of multiple nationalities and backgrounds — from investors and board members to operational leads across jurisdictions
    • Maintain impeccable written English across all communications; tone should adapt to context
  • Strategic Support
    • Develop a working understanding of the company's priorities and use this to make active judgement calls — not just execute instructions
    • Track open actions from CEO meetings and follow through to ensure closure
    • Coordinate across the CEO Office and wider leadership team on key project deliverables
    • Support preparation of materials, briefing notes, and context packs for senior meetings
    • Collate progress report on key projects, summary of last 3 months financial and operational KPIs, relevant market news for CEO when he travels to a Business Unit location
  • Operations & Tools
    • Keep things moving — own outstanding tasks and see them through to a logical, documented end
    • Manage travel logistics with precision when required: multi-stop, multi-time zone, and always with a backup plan
    • Prepare a Briefing Memo before Travel with all flights, taxis and hotels, meetings and annexures of any prep work to be studied by CEO in preparation for the meetings
    • Embrace and actively use modern tools — Slack, Claude AI, Microsoft 365, and whatever else the business adopts
    • Help the CEO Office run efficiently by identifying and removing friction wherever it exists

Skills and experience required:

  • Candidate needs to be flexible in terms of working hours (Ideally from 8 pm to 5.00 am FJT).
  • Proven experience as an EA or Chief of Staff supporting a C-suite executive
  • Exceptional written English — every word you send reflects the CEO
  • Genuine multi-tasker: you hold many threads simultaneously without dropping any
  • Strong time zone awareness and the ability to work flexibly across countries
  • Discretion and sound judgement — you will be trusted with sensitive information
  • Cross-cultural fluency: comfortable working with stakeholders from the UK, Ireland, India, and beyond
  • Comfortable with ambiguity and able to create structure where none exists
  • Proactive closer — you do not leave things half-finished
  • Experience working in or with businesses undergoing transformation or rapid change
  • Prior exposure to AI tools, workflow automation, or operational improvement
  • Confidence adapting quickly to new technology — Slack, AI assistants, project management platforms
