Senior Administrative Officer (Cabinet) (Office of the Prime Minister)

Job Description & Skills/Qualifications Required

The position manages administrative processes relating to Cabinet Ministers and Assistant Ministers, and executive support to Cabinet Office.

Key Responsibilities

1. Providing effective secretarial & administrative support to Cabinet Office.

2. Assist in vetting of Cabinet papers.

3. Drafting Cabinet Meeting Agenda, PM’s Speaking Notes and Cabinet Decisions.

4. Preparing Cabinet Notes/Correspondence on matters of importance for Ministers as per directive.

5. Coordinating the timely processing, packing and circulation of Cabinet meeting papers and Cabinet Decisions.

6. Coordinating/preparing for meeting proper by ordering catering, supervise of setting up of meeting venue and catering.

7. Providing logistical support for swearing – in of the Prime Minister and Ministers and assist in preparing ministerial assignments.

8. Supervising the management of the Cabinet Office Registry and the overall duties of the Messenger/Cleaner.

Knowledge & Experience

  1. 1. Five (5) years of relevant work experience delivering administrative duties, human resource management and financial management.
  2. 2. Understanding of the Fijian Constitution (2013).
  3. 3. Some knowledge of leave and record management.
  4. 4. Experience in negotiation/discussion with senior staff of Government and non-Government agencies.
  5. 5. Proficient knowledge of Microsoft Office Packages.

  1. 1. Strong interpersonal, communication, writing and organisational skills.
  2. 2. Demonstrated ability to liaise with stakeholders and network.
  3. 3. Must have problem solving and research skills and ability to gather data, compile information, and prepare reports.
  4. 4. Trustworthy and proven ability to closely guard matters of confidentiality and neutrality in a sensitive environment.
  5. 5. Capacity to follow instructions, plan for service delivery and coordinate multiple tasks/activities to meet tight and fixed deadlines.
  6. 6. Must be a team player who is also able to work independently with minimal supervision.
  7. 7. Good judgment, proactive, high sense of responsibility, tact and discretion, with sensitivity to different cultures.
  8. 8. Service oriented approach with a commitment to supporting the operational environment of Cabinet Office.

Additional Information

Applicants for employment in the Office of the Prime Minister must be of good character, with a background that demonstrates their commitment to the Civil Service Values contained in the Fiji Constitution. Applicants must be Fijian Citizens, under the age of 60, in sound health, with a clear police record. The selected applicant will be required to provide a medical certificate and police clearance as a condition of employment.
