Administrative Officer (Cabinet) (Office of the Prime Minister)

Job Description & Skills/Qualifications Required

The position provides executive support to Secretary to the Cabinet through the Senior Administrative Officer and Principal Assistant Secretary in facilitating the various roles of the Cabinet Office.

Key Responsibilities

1. Provide effective secretarial & administrative support to the Secretary to the Cabinet and Cabinet Office.

2. Assist in the preparation of Cabinet Papers including logistics of Cabinet paper circulation and Cabinet meeting preparation.

3. Record Decisions of Cabinet and timely Circulation to Ministers and via Written Opinion.

4. Facilitate Ministerial Overseas Travel and Ministerial Acting Appointments

5. Facilitate Ministerial Leave Entitlements.

6. Facilitate requests for the use of Coat of Arms and National Flag.

7. Facilitate requests for President’s Pension, Prime Minister’s pension, Parliamentary Retirement pension and assist in the management of the Cabinet Office Registry.

8. Assist logistic support for swearing – in of the Prime Minister and Ministers/Assistant Ministers.

Knowledge & Experience

  1. 1. Two (2) to three (3) years’ work experience in providing Secretarial Services to the senior management.
  2. 2. Understanding of the Fijian Constitution (2013).
  3. 3. Understanding of machinery of government.
  4. 4. Understanding of how to maintain effective working relationships.

Skills & Abilities

  1. 1. Strong interpersonal, communication and writing skills.
  2. 2. Ability to work effectively with internal and external stakeholders such as relaying information to members of the public.
  3. 3. Capacity to ulitise computer programs to effectively carry out the functions of the position.
  4. 4. Ability to follow instructions, plan, develop and coordinate multiple tasks/activities and meet set deadlines.
  5. 5. Demonstrated ability to work cooperatively within a team environment and independently with minimal supervision.
  6. 6. Demonstrated ability to maintain confidentiality and neutrality, in a sensitive environment and maintain high standards of professionalism.
  7. 7. Service oriented approach, with a commitment to supporting the Operational/Corporate environment of the Ministry.

Additional Information

Applicants for employment in the Office of the Prime Minister must be of good character, with a background that demonstrates their commitment to the Civil Service Values contained in the Fiji Constitution. Applicants must be Fijian Citizens, under the age of 60, in sound health, with a clear police record. The selected applicant will be required to provide a medical certificate and police clearance as a condition of employment.
