Secretary (Ministry of Public Enterprises)

Job Description & Skills/Qualifications Required

The position is responsible to provide secretarial and administration services to the Director and contribute effectively and efficiently to the achievement of the strategic objectives.

Key Responsibilities

The position will achieve its purpose through the following key duties:

1. Organize and facilitate the Director’s calendar and schedule meetings, forum, consultation, briefs, official traveling locally and overseas as mandated.

2. Provide prompt customer services to clients with feedback through face to face, internal and outgoing calls, e-mails and formal communication mediums in accordance with

decision made by the Director and ensure that information communicated professionally to relevant parties.

3. Maintain high level of confidentiality through receipt, dispatching of correspondences, cabinet papers, policy papers, information papers, brief papers, minutes of the meetings and strictly maintain record keeping for all relevant information.

4. Undertake all required activities to ensure stationaries, office equipment, driver’s activities, meeting logistics are arranged, well-kept and maintained; and

5. Actively contribute to all corporate requirements of the Ministry activities where required. 

Knowledge & Experience

  1. At least 2 years’ experience in a Secretarial/Personal Assistant role.
  2. Knowledge and understanding of the administrative functions and processes relevant to corporate services.
  3. Knowledge on records management procedures.
  4. Knowledge and understanding of Government systems and processes
  5. Achieving positive results by working diligently across functions and boundaries.
  6. Working successfully with a wide range of people, using sensitivity and diplomacy to influence and build positive relationships at every level.

  1. Attention to details and high level of accuracy.
  2. Effective and Sound interpersonal and written communication skills.
  3. Resourceful and self-confident and can get jobs done well.
  4. Demonstrate ability to maintain confidentiality, build and sustain relationships with a network of key people both internally and externally.
  5. Capacity to utilize computer programs to support daily operations.
  6. Service oriented approach, with a commitment to supporting the operational and corporate environment of the organization.

Additional Information

Applicants for employment in the Ministry of Public Enterprises must be Fijian citizens, under age 60, in sound health, with clear police record. The successful applicant will be required to provide a medical certificate and police clearance as a condition of employment.
