Executive Officer - Assets (Ministry of Forestry)

Job Description & Skills/Qualifications Required

The position provides administrative support for asset management compliance including housing and office maintenance and is also the Transport Supervisor.

Key Responsibilities

1. Maintain the central Asset Register and work with divisional executive officers on ensuring asset management registers are updated, and records are properly maintained including inventory ledgers expendable and fixed assets, and the transfer of assets.

2. Coordinate the Ministry’s physical stock take of assets/ Annual Board of Survey [BOS] and ensure proper approvals, documentation and logistical support are provided to complete the asset cycle in accordance with procedures, guidelines, and regulations

3. Assist the Procurement Advisor with the upgrading of offices, quarters and roads project and provide administrative and logistics support for tender processes.

4. Address office maintenance matters and act as fire warden for HQ, and work with divisional EOs to facilitate OHS compliance in ministry offices and workplaces

5. Provide effective supervision for the Clerical Officer (Transport) to ensure the fleet are managed in compliance with the Transport Policy, including the timely facilitation of accident tribunals and surcharges.

6. Ensure monthly/quarterly returns on all vehicle usage, and staff quarters are done correctly and on time

7. Collate and maintain accurate, up to date information and data that is easily accessible for other members of the team.

8. Comply with and support Ministry administrative policies and activities including workplace health and safety, service improvement programs/activities, and participation in selection panels where required.

Knowledge & Experience

  1. 1. 18 months relevant work experience in a broad-based administrative support role
  2. 2. Understanding of financial and asset management concepts in the private/public sector

  1. 1. Very good organizational and time management skills and able to meet deadlines
  2. 2. Has patience and focus to enable a high attention to detail and accuracy
  3. 3. Able to analyse data and write quality reports
  4. 4. Team-player, with the ability to follow policies, procedures, and directions
  5. 5. Ability to maintain standards of conduct and ethics and handle confidential information with discretion
  6. 6. Proficient in MS Excel and MS Word.
  7. 7. A Group 2 full driving license is advantageous
