Assistant Community Engagement Officer ( Ministry of Multi Ethnic Affairs)

Job Description & Skills/Qualifications Required

The position is responsible for providing operational and administrative support in planning, implementing, and monitoring community engagement activities and programs of the Ministry. The position assists in fostering positive relationships between the Ministry and various ethnic communities, supporting initiatives that promote social inclusion, intercultural understanding, and community development.

Key Responsibilities

1. Assist in the organization and delivery of community consultations, awareness campaigns, and outreach activities.

2. Support the implementation of programs such as the Multi-Ethnic Community Grants Scheme, Girmit Day Celebrations, and Cultural Exchange Initiatives.

3. Participate in visits to communities to collect data, identify needs, and assist in program monitoring and reporting.

4. Maintain strong relationships with community leaders, youth, women’s groups, and civil society organizations to promote ethnic harmony and participation.

5. Provide logistical and coordination support for community events, workshops, and cultural programs.

6. Assist in preparing event materials, media briefs, and communication outputs.

7. Record and compile feedback from participants and assist in preparing evaluation reports.

8. Contribute to the promotion of Ministry activities through social media, newsletters, and other communication platforms.

9. Support the Community Engagement Officer in collecting, entering, and updating community data and mapping information.

10. Assist in the development and maintenance of the Community and Girmit Database.

11. Prepare summaries, updates, and progress reports for submission to supervisors.

12. Provide administrative assistance including filing, correspondence, and record management.

13. Support budget tracking and logistical arrangements for travel, venues, and supplies.

14. Ensure proper documentation of community engagements and project activities.

15. Work closely with divisional and district officers to coordinate Ministry outreach efforts.

16. Participate in cross-departmental activities and assist in community partnership initiatives.

17. Uphold professionalism, teamwork, and the values of the Fijian Civil Service.

Knowledge & Experience

  1. 1. At least two (2) year’s work experience in community outreach and engagement, program coordination or public administration or similar role
  2. 2. Basic understanding of community development and multicultural engagement principles.
  3. 3. Good communication and interpersonal skills for interacting with diverse communities.
  4. 4. Ability to plan, organize, and coordinate community events.
  5. 5. Strong report-writing and computer literacy skills (MS Office, data entry).
  6. 6. Awareness of Fiji’s ethnic composition, cultural diversity, and social structures.
