Executive Assistant to Regional General Manager

Location: InterContinental Fiji Golf Resort & Spa, Natadola, Fiji

We are looking for a highly organised, proactive and tech-savvy Executive Assistant to support the Regional General Manager – Fiji & Pacific, as well as other members of our regional and senior leadership team.

Based at the beautiful InterContinental Fiji Golf Resort & Spa, this is a dynamic role for someone who enjoys working in a fast-paced hospitality environment, can manage competing priorities with confidence and is equally comfortable supporting senior leaders behind the scenes or stepping into the operation when needed.

Your day-to-day

In this role, you will provide high-level administrative and coordination support to the Regional General Manager and wider regional leadership team. Your responsibilities will include managing schedules and meetings, coordinating information and communications, preparing reports and presentations, and helping ensure priorities and follow-up actions stay on track.

You will attend key meetings, accurately capture minutes, decisions and action items, and share these with the appropriate stakeholders in a timely manner. Strong attention to detail will be essential, along with the ability to handle confidential and sensitive information with discretion.

As part of a hotel environment, this role goes beyond the traditional Executive Assistant remit. From time to time, you will also support operational activities across the resort. This may include welcoming and meeting guests, assisting our F&B outlets during busy periods, supporting special events and helping other operational teams when required.

What we are looking for

  • Strong experience in executive, administrative or senior-level coordination support preferably at a hospitality environment
  • Excellent organisational skills with the ability to manage multiple priorities and deadlines
  • Strong analytical capabilities and confidence working with data, reports and business information
  • Tech-savvy, with the ability to quickly learn and confidently use digital tools and systems
  • Excellent written and verbal communication skills
  • Strong attention to detail and a high level of accuracy
  • Ability to take clear, concise meeting minutes and communicate actions and decisions effectively
  • Ability to work independently with minimum supervision while using sound judgement
  • A proactive mindset with the ability to anticipate needs, identify issues and follow through on actions
  • Professionalism, discretion and confidence when working with senior leaders and confidential information
  • Flexibility and a willingness to support hotel operations when required
  • A genuine guest-focused approach and the confidence to engage with guests and colleagues across different levels of the business.
  • At times required to support the Food & Beverage and Club operation during peak periods, including representing management on the floor when required, providing visible leadership and assisting the team to maintain strong service standards and excellent guest experience.
