Transport Coordinator
The Transport Coordinator is responsible for coordinating the efficient movement of people and vehicles between locations. Reporting to the Manager Transport, the role coordinates all aspects of transport planning, including scheduling, routing, vehicle maintenance, and daily transport operations.
The Transport Coordinator is also responsible for ensuring that drivers and vehicles comply with the requirements of the Land Transport Authority (LTA). This includes organizing, and where required, conducting driver safety training, monitoring the validity of drivers' licenses, and ensuring that all vehicles have current insurance and relevant regulatory documentation.
KEY RESPONSIBILITIES

Prepare transportation schedules and complete daily shift report data entry.

Prepare the total transport transfers for each shift and discuss the proposed allocation with the Manager Transport before dispatching to all internal departments and any approved third-party service providers.

Coordinate and centralize all transport requests, ensuring that available internal resources are utilised before engaging external transport providers. Any outsourcing must receive prior approval from the Manager Transport.

Liaise closely with the Operations Control Centre (OCC) to coordinate transport requirements arising from flight schedule changes, including the pickup and drop-off of Cabin Crew and Technical Crew.

Communicate key operational information and transport updates to drivers using appropriate communication channels.

Act as the primary point of contact for drivers, providing day-to-day operational support both in person and through other communication methods.

Plan and schedule routine vehicle servicing and maintenance.

Perform administrative duties required to support the Transport Operations team.

Monitor traffic conditions, roadworks, and weather impacts, and plan transport schedules accordingly.

Utilise navigation applications to determine the safest and most efficient routes.

Immediately report any major incidents or vehicle accidents to the Manager Transport.

Conduct regular performance discussions, provide coaching, and support employee development to achieve optimum performance.

Ensure transport facilities, vehicles, tools, and equipment are maintained in accordance with manufacturers' recommendations and are cleaned and serviced in a timely manner.

Monitor and maintain minimum spare parts inventory levels.

Ensure vehicle mileage logs, maintenance records, and repair records are accurately maintained and kept up to date.

Maintain records of vehicle wheel tax certificates and monitor driver licence expiry dates to ensure renewals are completed before expiry.

Perform any other duties as assigned by the Manager Transport.
QUALIFICATIONS & EXPERIENCE

Tertiary level education in Business Administration

Valid driving license required
-
3 years' experience in a similar role

Previous experience with transportation management

Extensive knowledge of operating areas

Excellent organizational and time management skills

Exceptional interpersonal skills

Good verbal communication

Competent Windows/Microsoft user

Ability to multi task

Proficiency using GPS devices
