Role Purpose

Customer Service Office Administrator
is responsible for supporting the preparation, lodgement, and follow-up of immigration visa applications. This role requires strong customer service skills, attention to detail, confidentiality, and the ability to interpret and apply immigration instructions, policy, and legal frameworks. The role also provides daily front-office and administrative support to ensure smooth operations.

Key Responsibilities

1. Client & Customer Service

  • Greet clients professionally in person, by phone, and online.
  • Respond to inquiries, explain required documents, and guide clients through the visa process.
  • Book appointments and maintain communication with clients throughout their application.
  • Handle sensitive information with confidentiality and professionalism.

2. Visa Application Support

  • Assist in preparing visa applications, evidence lists, supporting documents, and case notes.
  • Collect documents from clients and ensure accuracy, completeness, and proper formatting.
  • Draft letters, cover submissions, and supporting statements under supervision.
  • Maintain case tracking logs and monitor follow-ups.

4. Office Administration

  • Manage office emails and incoming / outgoing communication.
  • Maintain filing systems (digital and physical).
  • General office duties (scanning, typing, printing, data entry).

Multilingual skills (Fijian/Hindi/other)

Formal training in law, immigration, admin or business
