Client Operations Specialists - Fiji

A well-established New Zealand professional services company is looking for a sharp, organised and reliable Client Operations Specialist to support our New Zealand team.
This is a fully digital, systems-driven role working through structured workflows, templates and processes.
You will be working closely with our team in New Zealand, supporting real client matters and answering phone calls during NZ business hours, so attention to detail, professionalism and confidence in communication are essential.

Administration & Document Preparation
Preparing and organising documents for applications and client files
Uploading, naming and categorising files correctly (no shortcuts, no guesswork)
Using approved templates and following workflows exactly
Keeping digital files clean, complete and audit-ready
Managing and organising documents, files and databases
Client Contact & Communication
Answering incoming calls and making outgoing calls during NZ business hours
Following up clients for missing documents or information
Sending clear, professional emails and messages
Corresponding with clients to gather required materials and provide updates
Logging every interaction on the same day
Research & Case Support
Conducting research based on instructions and guidelines
Preparing timelines, document lists and summaries
Drafting supporting letters and written responses
Flagging issues early and escalating where needed
Task & Deadline Management
Managing multiple cases at the same time
Keeping on top of tasks, reminders and timelines
Ensuring all actions are completed accurately and on time
Strictly observing deadlines and timeframes
Quality & Professionalism
Maintaining strict confidentiality at all times
Working ethically, responsibly and with integrity
Delivering high-quality work without constant supervision
Consistently producing accurate, well-presented work
Team Support
Supporting team members as needed
Participating in training and continuously improving skills
Being a reliable, positive team player
Excellent English (written and spoken)
Strong organisation and time management skills
Very high attention to detail (this is non-negotiable)
Confident using computers, systems and online tools
Ability to work independently and take ownership of tasks
Professional, calm and client-friendly communication style
Someone who follows systems and processes properly
Supportive team player with a positive attitude
