The Role 

Pepper Advantage Hub (Fiji) is seeking a reliable and detail-oriented HR Administrator to join our People team. This role is responsible for delivering efficient and professional HR administration across the full employee lifecycle. As the first point of contact for HR queries, you will manage the HR inbox, maintain accurate employee records, produce regular and ad-hoc reporting, and provide high-quality support to the wider HR team and business.

Key Responsibilities

  • Own and manage the HR inbox, ensuring all queries are responded to within agreed service levels
  • Produce weekly, monthly and quarterly HR reports covering headcount, turnover, absence, recruitment and diversity metrics.
  • Support onboarding, contractual changes and offboarding administration.
  • Maintain accurate employee records within HR systems.
  • Support payroll and benefits administration.
  • Ensure compliance with GDPR and employment legislation requirements.

HR Inbox Management
Monitor inboxes, triage requests, answer routine enquiries, escalate complex matters, maintain query logs and identify service improvement opportunities.

Reporting and Analytics
Generate recurring reports, audit data quality, prepare dashboards, analyse workforce trends and fulfil ad hoc reporting requests.

Employee Lifecycle Administration
Prepare contracts, offer letters, onboarding packs, probation documentation, amendment letters and leaver paperwork.

Systems and Data Management
Maintain HRIS records, complete data audits, correct discrepancies and support system upgrades and testing.

Compliance and Governance
Maintain personnel files, right to work documentation, retention schedules and audit evidence.

Customer Service
Provide a responsive and professional service to employees, managers and stakeholders across the business.

Skills and experience required:

  • Candidate needs to be flexible in terms of working hours (Ideally from 8 pm to 4.30 am FJT).
  • Previous experience in an HR administration or people operations role.
  • Strong working knowledge of the full employee lifecycle (onboarding, contractual changes, and offboarding)
  • Advanced Excel skills, including Pivot Tables, XLOOKUP, and data analysis
  • Experience producing accurate HR reports (headcount, turnover, absence, recruitment, and diversity)
  • Familiarity with HR information systems (HRIS) and maintaining employee records
  • Experience supporting payroll and benefits administration
  • Solid understanding of GDPR and employment legislation compliance
  • Proven ability to handle confidential and sensitive information with discretion
  • Strong written and verbal communication skills
  • Ability to prioritise workload and respond to queries within agreed service levels
  • High attention to detail and accuracy
  • Clear accountability for delivering work to deadlines
  • Proactive attitude toward continuous improvement and process efficiency
