Procurement Officer - Nausori & Outer Islands

Job Description & Skills/Qualifications Required

Purpose of the Role:  

The Procurement Officer (Nausori & Outer Island) will be responsible for always ensuring prudent purchase of goods and services. Procurement Officer will ensure that that FA is getting the best value for its money and is well informed of market prices and continuously doing market price and product research on products relevant to the company. The Procurement Officer will be responsible for procurement of all Nausori and Outer Islands request in accordance with procurement policy.

Key Accountabilities:

  • Validated Procurement Requests: Ensured compliance with procurement policies by validating requests, securing necessary quotes, confirming supplier registration, and verifying budget availability.
  • Timely Requisition Processing: Managed requisitions for all department efficiently, ensuring timely provision of goods and services. Prioritize request for critical spares to ensure operations is not affected. 
  • Accurate Invoice Certification: Verified that invoices matched orders and received goods or services before certification for payment, ensuring accurate system entries. 
  • Detailed Reporting: Provided timely monthly reports on requisitions and outstanding requests, categorized by cost centre, to aid in financial oversight. 
  • Enhanced Finance Functionality: Contributed to the Finance Department’s efficiency by meeting deadlines, improving the Procurement Department and addressing specific requirements from senior staff.

Qualifications, Professional Knowledge and Experience:

  • Preferably a diploma level qualification in Accounting/ Finance or in a related field with at least 7 years' work experience in related field. 

Personal Attributes:

  • Negotiation and Vendor Management: Skill in negotiating favourable terms with suppliers and managing relationships to ensure performance and resolve disputes.
  • Analytical and Financial Skills: Ability to analyse procurement data, manage budgets, and control costs effectively.
  • Compliance and Problem-Solving: Knowledge of legal and policy requirements, with a capacity to address procurement-related issues and ensure adherence to standards.
  • Communication Skills: Effective communication with both internal stakeholders and external suppliers to facilitate smooth procurement processes. Organizational Abilities: Proficiency in managing multiple procurement tasks, maintaining accurate records, and ensuring timely execution of orders.
