Stakeholder Relations Coordinator

Job Description & Skills/Qualifications Required

Purpose of the Role:  

The Stakeholder Relations Coordinator is responsible for building and maintaining strong relationships with key stakeholders, including local and international communities, government agencies, regulatory bodies, intergovernmental organisations, funding agencies, and other external partners.

This role ensures stakeholder consultation happens, concerns are addressed, community engagement initiatives are inclusive and effective, and all activities comply with local and national regulations. The role also supports communications for key projects, including the Master Planning process, by preparing clear project updates, stakeholder messages, public notices, and social media content. The Officer will play a critical role in fostering trust, transparency, and collaboration between Fiji Airports and its stakeholders, while supporting project visibility, digital engagement, and broader communication goals.

Key Accountabilities:

Stakeholder Engagement

  • Develop and implement stakeholder engagement strategies to support Fiji Airports’ Master Planning process and broader project objectives.
  • Build and maintain strong working relationships with key stakeholders including local and international communities, government agencies, regulatory bodies, intergovernmental organisations, funding agencies and other external partners.
  • Act as the primary point of contact for stakeholder inquiries, concerns and feedback, ensuring timely acknowledgement, response and resolution.
  • Conduct structured stakeholder consultations to gather input, address concerns and integrate feedback into project planning and decision-making.
  • Develop and maintain a stakeholder mapping and database to identify, analyse and track stakeholder interests, influence, and engagement history.
  • Establish and maintain a stakeholder issues and grievance tracking system to ensure all concerns are recorded, monitored, and resolved in a timely manner.
  • Manage and maintain the Project Information Hub, ensuring information is current, accurate and accessible to stakeholders.
  • Develop and coordinate stakeholder communication materials including project updates, notices, presentations, FAQs and engagement collateral.
  • Ensure consistent, clear and culturally appropriate communication of project information across all stakeholder groups.

Community Liaison

  • Plan, coordinate and implement community engagement initiatives including public meetings, workshops, consultations and outreach programs.
  • Develop and distribute community-focused communication materials that are accessible, culturally appropriate and aligned with organisational messaging.
  • Create and manage content that promotes community engagement activities across digital and social media platforms.
  • Document, capture and share community engagement activities, outcomes and feedback through approved communication channels.
  • Receive, manage and respond to community concerns and grievances, working with internal project teams to develop practical and balanced solutions.
  • Ensure engagement activities are inclusive and effectively reach diverse and underrepresented community groups.
  • Monitor and evaluate the effectiveness of community engagement activities and recommend improvements to enhance participation and impact

Government and Regulatory Relations

  • Serve as the key liaison between Fiji Airports and government ministries, regulatory bodies and other statutory authorities.
  • Ensure compliance with all applicable local and national legislation, including environmental, social and governance (ESG) requirements.
  • Support preparation and submission of regulatory documentation, reports, permits and compliance requirements for projects.
  • Maintain regulatory obligations register to track approvals, submissions and compliance deadlines.
  • Monitor changes in legislation, policy and regulatory frameworks and communicate potential impacts to relevant internal stakeholders.
  • Support engagement with government agencies to facilitate approvals, alignment and smooth project delivery.

Collaboration and Reporting

  • Work closely with the Director Projects, Strategic Manager Engagement & Communications, and Communications team to align stakeholder engagement activities with broader communication strategies.
  • Prepare regular stakeholder engagement reports outlining activities, feedback received, issues raised and actions taken.
  • Provide insights and recommendations to support project planning, risk management and decision-making.
  • Contribute to the development and implementation of stakeholder engagement and communication plans.
  • Support the development and delivery of internal training on stakeholder engagement and community liaison practices.
  • Develop content for digital communication channels including social media, website updates, newsletters and stakeholder publications.
  • Monitor stakeholder sentiment and public feedback across digital platforms and report key trends.
  • Support communication campaigns and public awareness initiatives linked to key projects.
  • Ensure timely and accurate dissemination of project updates and key messages across all channels.

 

Qualifications, Professional Knowledge and Experience:

  • A Bachelor’s Degree in Communications, Public Relations, Social Sciences, Community Development, or a related field. Alternatively, seven years of relevant experience will be considered.
  • Minimum of 5 years of postgraduate experience in stakeholder engagement, community liaison, government relations, or a related field.
  • Proven track record of managing complex stakeholder relationships and addressing community concerns.
  • Experience developing content for digital and social media platforms.
  • Experience in regulatory compliance and working with government agencies is an advantage.
  • Advanced negotiation, diplomacy, and conflict resolution skills.
  • Strong written and verbal communication skills, with the ability to tailor messages to diverse audiences from government officials to community leaders to marginalized groups.
  • Ability to manage multiple priorities and work under tight deadlines.
  • Proficiency in data collection, analysis, and reporting.
  • Cultural sensitivity and the ability to work effectively in Fiji’s diverse cultural context.
  • Familiarity with digital tools for stakeholder engagement and communication is a plus.
