Facilities Officer

Job Description & Skills/Qualifications Required

The University of Fiji is seeking a well-experienced and competent Facilities Officer to join the Facilities Section. The position is based at Samabula Campus but the successful candidate may be required to work from other University sites and campuses when required. This role involves overseeing the daily supervision and management of campus facilities, coordinating maintenance activities, ensuring compliance with health and safety regulations, and supporting the University’s strategic goals through effective and thorough facilities management. The Facilities Officer will be reporting to the Head of Campus Samabula.

Responsibilities:

  • Undertake and/or organize scheduled and unscheduled maintenance and repair requests, assigning and prioritizing all facilities tasks and arranging for external contractors for building and general university work as required;
  • Oversee all University renovations, refurbishments, maintenance, and building projects;
  • Ensure that the Campus facilities meet all internal and external compliance, including OHS, standards and government regulations;
  • Ensure that the Campus facilities are well-maintained with proactive maintenance schedules in place;
  • Coordinate event set-ups to ensure spaces are appropriately equipped to meet the needs of staff and students;
  • Conduct and/or organize safety and security inspections within Campuses, check for compliance of all risks, and make recommendations;
  • Oversee the Campus routine works budget allocation including purchases for stock items and repairing of existing equipment in accordance with University policy and procedures;
  • Manage assets and resources prudently including equipment and all materials and undertake monthly facilities stocktake;
  • Identify opportunities for cost savings and efficiency improvements;
  • Implement and promote environmentally friendly practices in facilities management;
  • Supervise and mentor Facilities staff of the University in partnership with Heads of Campus, and other relevant staff of the University;
  • Combination of office work and on-site inspections of university buildings and grounds;
  • Prepare regular reports on facilities operations, maintenance activities, and compliance matters; and
  • Undertake any other relevant duties as required.

Requirements:

  • Bachelor's Degree in Civil and Structural Engineering, Project Management or Property Management with at least 3 years of experience in facilities management/ building maintenance/ renovation projects with the ability to manage a team through maintenance and capital works projects;
  • Leadership ability and competence in working with a diverse group of staff;
  • Ability to produce results under pressure;
  • Ability to manage a range of staff facilities teams, including cleaners, grounds, maintenance, and small projects teams;
  • Ability to provide construction project costing and quality surveying, proficient in reading building plans and writing complex and technical reports;
  • Excellent analytical and communication skills;
  • Must be very adept at time management and have the ability to work under minimum supervision or no supervision;
  • Must have proven skills and expertise with the tenacity, agility, and courage to creatively and critically think, negotiate, consult, and influence;
  • Must have a proven record of high-performance integrity; and
  • Ability to handle emergencies and provide effective solutions.

Salary Band: $32,682.65 - $40,494.60

The University offers a three-year full-time contract with renewals subject to performance reviews.
