Job Description & Skills/Qualifications Required

Purpose of the Role

 

The Administration and Billing Assistant is responsible for the provision of Administration support to the AVSEC Management. The position holder is also responsible for collating and analyzing the shift time base (STB) sent by the supervisor on shift end. 

Key Accountabilities:

  • Provide general clerical support and maintain databases and filing systems.
  • Verify STB against the deployment book every morning and prepare an STB summary.
  • Collate the summary every 15 days and, upon approval from AOSC, forward it to the security service provider for verification and invoicing.
  • Collate and verify all security shift forms. Ensure all details are correctly completed and that there are no missing dates. All forms must be filed and securely stored.
  • Ensure the AOSC office is well maintained, clean, and that office discipline is upheld.
  • Ensure efficient and cost-effective use of resources and office stationery within Security Operations.
  • Process requisitions for items through ACCPAC and follow-up on procurement for the Security Department.
  • Organize and act as secretariat for any internal or external AVSEC meetings as advised by AOSC or MASS.
  • Monitor and report all absences for AVSEC staff and assist the Training Officer in submitting leave returns to the Human Resources section.
  • Assist in the preparation of the monthly Operations report.
  • Carry out any other administrative tasks assigned by AOSC or MASS from time to time.
  • Maintain confidentiality of all information received in the workplace.
  • Maintain knowledge of Company policies and procedures.
  • Encourage and maintain high morale among colleagues by ensuring effective communication of the Company’s achievements.
  • Take practical steps to ensure personal safety at work and ensure that no personal action or inaction causes harm to others. Carry out any other duties within the scope of the position or as assigned by the Department GM/Manager from time to time.

Qualifications, Professional Knowledge and Experience:

  • Diploma-level qualification with a background in Finance and Administration.
  • Demonstrated experience in an administrative role in a highly pressurized environment requiring tact, judgment and discretion in handling internal and external contacts
  • Have experience in diary management/researching and booking of travel and accommodation
  • Have experience of successfully working with senior management
  • Must be proficient with the keyboard and IT applications, Expert level in the use of Outlook and Intermediate level in the use of Word, Excel and PowerPoint.
