Senior Payments Officer

Job Description & Skills/Qualifications Required

Purpose of the Role: 

The purpose of the Senior Payments Officer role is to ensure the accurate and timely processing of payments, maintain robust financial controls, ensure compliance with tax regulations, and support effective financial management through detailed analysis and reconciliation. This role also upholds confidentiality and fosters effective communication within the finance team and with stakeholders.

 

Key Accountabilities:

  • Payment Processing: Accurately prepare and manage international, contractual, and local payments, ensuring timely posting to the General Ledger.
  • Financial Analysis and Reconciliation: Conduct VAT and provisional tax analysis, reconcile accounts payable control accounts, and perform monthly creditors reconciliations.
  • Compliance and Documentation: Prepare and submit tax clearance applications, respond to tax inquiries and audits, and ensure all payment-related contracts are properly filed.
  • Internal Controls: Develop, document, and review internal control policies and procedures, address audit findings, and implement corrective actions.
  • Confidentiality and Communication: Maintain the confidentiality of sensitive information and communicate effectively with team members and stakeholders.
  • Record Management: Update records for major projects, director’s fees, staff relations, overseas travels, and staff advance claims.

 

Key Challenges/ Decision/ Success Factors

  • Regulatory Compliance: Ensuring compliance with various tax regulations and internal control policies can be demanding, especially with frequent changes in laws and regulations.
  • Accuracy and Timeliness: Managing a high volume of payments accurately and ensuring they are processed on time requires meticulous attention to detail and efficient time management.
  • Financial Reconciliation: Regularly reconciling accounts payable control accounts and resolving discrepancies can be complex, particularly when dealing with multiple suppliers and transactions.
  • Audit and Internal Controls: Developing, documenting, and reviewing internal control policies, as well as addressing audit findings and implementing corrective actions, requires a thorough understanding of financial processes and controls.

 

 

Qualifications, Professional Knowledge and Experience:

  • Preferably a Degree level qualification in Accounting/ Finance or in a related field with at least 5 years' work experience in related field.

  • Financial Acumen: Strong understanding of financial principles, accounting standards, and tax regulations to ensure accurate and compliant financial management.
  • Analytical Skills: Ability to analyze financial data, identify discrepancies, and perform detailed reconciliations to maintain accurate financial records.
  • Attention to Detail: Meticulous attention to detail to ensure accuracy in payment processing, record-keeping, and compliance with internal controls.
  • Problem-Solving: Proficiency in identifying and resolving financial discrepancies, compliance issues, and system inefficiencies.
  • Communication Skills: Effective communication with team members, stakeholders, and external auditors to ensure clear and concise information exchange.
  • Organizational Skills: Strong organizational abilities to manage multiple tasks, meet deadlines, and maintain up-to-date financial records.
  • Confidentiality: Commitment to maintaining the confidentiality of sensitive financial information.
  • Leadership: Ability to lead and mentor junior finance staff, ensuring adherence to financial policies and procedures.
  • Technical Proficiency: Proficiency in financial management software and tools to streamline financial processes and reporting.
  • Compliance Orientation: Ensuring all financial activities comply with relevant laws, regulations, and internal control policies.
