Job Description & Skills/Qualifications Required

The University of Fiji seeks an energetic and dynamic individual to join the Office of the Registrar as a Customer Service Representative. The successful candidate will report to the Registrar and will be responsible for the efficient running and management of the affairs for the Office of the Registrar. The successful candidate will be based at the Saweni Campus but may be required to work from other university sites and campuses when required.

Responsibilities:

  • Answer all incoming calls, provide pertinent information to the caller, and transfer the call to the appropriate source if requested;
  • Maintain proper records of all incoming and outgoing calls;
  • Manage and respond appropriately to customer queries from Live Chat;
  • Relay voicemails and other messages to the proper location within the School or University;
  • Collect and verify University directory information, including telephone numbers, addresses, and maintain regular updates of the Directory;
  • Receive all University mail, and maintain proper records of the facilitated delivery to relevant University personnel;
  • Record voicemail messages for the University phone system, including messages stating when the office will be closed for holidays;
  • Perform various word processing responsibilities, which can include proofreading of documents for the Department;
  • Provide front-line administrative support by welcoming visitors, directing them appropriately, and ensuring a professional and courteous first point of contact for the University;
  • Assist in coordinating appointments, meetings, and room bookings, ensuring schedules are managed efficiently and communicated to relevant stakeholders;
  • Support the maintenance of office systems and procedures, including filing, document management, and ensuring confidentiality of sensitive information in line with University policies; and
  • Perform miscellaneous tasks as assigned by the Registrar.

Requirements:

  • A Bachelor’s Degree in Management and Public Administration, Office Management, or any other relevant discipline from a recognized institution with at least 1 year of administrative work experience;
  • Able to work as part of a diverse team;
  • Have an excellent command of oral and written English;
  • Have good communication and interpersonal skills;
  • Have good IT skills in the use of MS Office applications, internet and mailing systems;
  • Good organizational skills and ability to establish and maintain good working relations with students, customers, visitors to the University and staff;
  • Flexible with working overtime and weekends as and when required;
  • Ability to handle multiple tasks simultaneously and maintain confidentiality at all times;
  • Must be a fast learner and able to work under minimum or no supervision and able to work under pressure;
  • Experience in a similar role in the public sector or university contexts will be an advantage.

The University requires all staff to proactively undertake community, environment and social responsibilities as well as participate in University Committees in accordance with the themes established by the Strategic Plan 2022-2026.

Salary Band: $15,872.55 - $19,781.40

The University offers a three-year full-time contract with renewals subject to performance reviews.
