Aspen Medical is seeking qualified and experienced candidate for the position of Manager Procurement & Logistics. This role will be responsible for the management of procurement (including sourcing, tender and category management) and logistics operations, (including inventory management, warehousing, and distribution). The role will also have an oversight of end-to-end logistics functions, ensure the efficient management of inbound and outbound healthcare supplies while maintain service quality, compliance, and supply chain continuity.
The roles and responsibilities of this position include:
- Manage the end-to-end procurement and supply chain function, including procurement planning, inventory control, logistics, distribution, and customs clearance, ensuring efficient operations and minimizing delays, disruptions, and missed opportunities.
- Lead and manage robust, transparent, and compliant tender processes for the procurement and supply of pharmaceuticals, medical consumables, equipment, and related healthcare products and services.
- Develop and implement procurement strategies, tender frameworks, and business plans that support organizational objectives, financial sustainability, and operational efficiency.
- Establish and maintain effective inventory management systems, including receiving, warehousing, stock control, and distribution of supplies across the hospital through the effective use of the ERP/Inventory Management System.
- Ensure the optimal utilization and integrity of Enterprise Resource Planning systems, including ERP, to maintain accurate, auditable, and readily retrievable records of procurement, inventory, storage, and distribution transactions.
- Collaborate closely with the Finance team to develop and implement strong financial controls, budgeting practices, and governance frameworks within procurement, logistics, and inventory management functions.
- Oversee inventory reconciliation and stock control activities, including conducting regular stock takes and ensuring inventory records accurately reflect physical stock holdings.
- Develop, implement, and continuously review Standard Operating Procedures (SOPs) for procurement, warehousing, logistics, inventory management, and distribution activities.
- Monitor and manage inventory levels to ensure stock availability while minimizing excess holdings, wastage, obsolescence, and losses resulting from expired stock.
- Build the capability of staff through coaching, mentoring, and training in procurement, inventory management, warehousing, distribution, and supply chain best practices, particularly in the management of pharmaceuticals, medical supplies, and equipment.
- Establish and maintain monitoring mechanisms to ensure procurement activities achieve value for money and that prices paid for goods and services remain competitive and aligned with prevailing market rates.
- Ensure full compliance with all applicable legislation, regulations, standards, and organizational policies relating to procurement, warehousing, handling, storage, transportation, and distribution.
- Provide strategic advice and oversight to the Executive Team on domestic and international procurement activities, supplier management, and supply chain optimization initiatives.
- Prepare and present regular management reports and key performance metrics, including inventory status, stock movement, inventory variances, dead stock, shrinkage, leakage reports, and other supply chain performance indicators.
- Plan, allocate, and monitor workloads, ensuring resources are effectively utilized and departmental operations are reviewed regularly to drive continuous improvement.
- Prepare and manage annual departmental budgets, business plans, and operational work plans, ensuring alignment with organizational priorities and financial targets.
- Promote and contribute to a safe, healthy, and compliant workplace by adhering to occupational health and safety policies, procedures, and safe work practices.
- Exercise due care for personal health and safety, as well as the health and safety of colleagues, contractors, patients, and visitors, in accordance with organizational policies and legal obligations.
- Undertake any other duties and responsibilities reasonably assigned by management, consistent with the scope and level of the position.
Experience and Qualifications Required
- A University Degree in Finance, Business Management, or Supply Chain Management from a recognized institution, together with a minimum of five (8) years’ relevant experience in procurement and logistics management within the Fast-Moving Consumer Goods (FMCG), manufacturing, healthcare, or retail sectors; Or;
- Professional Diploma in Procurement and Supply Management from a recognized university, together with a minimum of eight (10) years’ relevant experience in procurement and logistics management within the FMCG, manufacturing, healthcare, or retail sectors.
- Professional certification and membership to a reputable procurement, logistics and/or warehouse management is highly desirable.
- Strong leadership, analytical and organisational skills; demonstrated ability to work both independently and within a team, assess priorities, and manage multiple activities with attention to detail, meeting tight deadlines under pressure.
- Excellent problem-solving capacity, with demonstrated ability for considerable analysis and sound judgment to find solutions in a complex environment with shifting and competing priorities.
- Excellent communication (both oral and written) and interpersonal skills demonstrated by ability to interact professionally with team members stakeholders, clients and consultants.
- Vast experience in international logistics preferrable in the management of Pharmaceuticals and Medical consumables.
- Strong supplier management experience including supplier performance.
- Contract management exposure.
- Advanced computer skills including proficiency in Microsoft Office programs (Excel spreadsheets, word processing, power point, and electronic mail).
