Passports Officer and Receptionist (LE3) Fixed Term, Part-time Contract The Australian High Commission is seeking suitable applicants to fill the position of Passports Officer and Receptionist (LE3). Under direction, the Passport Officer/Receptionist is responsible for the provision of passport services to Australian citizens in Fiji. This role is also responsible for the operation of the High Commission’s reception area, handling in-person telephone and email enquiries and assisting with a number of administrative duties. The key responsibilities of the position include, but are not limited to: Provide passport services to clients, conduct passport interviews, scan passport documentation and process passport applications Certify documents, perform notarial services and maintain the online records of Australians Citizens Act as the first point of contact for passport enquiries, including the management of the passport inbox and provision of advice to clients Process and issue emergency passports in accordance with relevant policies and guidelines Maintain stock levels of all passport related materials including application forms, travel documents and laminates Maintain a list of key contacts, including lawyers and medical services As a sub-cashier of public monies, manage passport and consular fees, issue receipts and deliver collections via the Cash Desk Undertake reception and switchboard duties, receive visitors, manage correspondence and deliveries, maintain records of all calls and respond to routine enquiries Manage telephone directories, and liaise with stakeholders on a range of administrative and operational matters Maintain registry of Australian Travellers in Fiji and Tuvalu Maintain the security mail box , organise visitor passes and prepare the visitor register Backup the Consular Officer, including the provision of basic consular services Qualifications/Experience Demonstrated ability to correctly interpret policies and guidelines, and to undertake clerical duties in an office environment Experience using the Microsoft Office suite of applications Strong written and spoken English communication skills Demonstrated experience and knowledge in consular and administration services would be an advantage The Application Form and the Candidate Pack including the Position Description are available at https://fiji.embassy.gov.au/suva/123.html Applications including a One Page Pitch (enter this into the Application Form) and a resume, must be submitted by 4.00pm on Monday, 19 November 2018, to email@example.com For further enquiries please, call 338 2211.
