Assistant Labour Officer Mediation (Ministry of Employment, Productivity & Industrial Relations)

Job Description & Skills/Qualifications Required

The primary purpose of this post is to assist and support the Mediator and be responsible for managing the administrative function of the mediation service; this includes effective and efficient registration of employment grievances as stipulated under the Employment Relations Act 2007(ERA) and provide quality advice to all stakeholders on the ERA, its respective subsidiary legislations, the Employment Relations (Amendment) Act 2015 and Employment Relations (Amendment ) Act, 2016 .

Key Responsibilities

The position will achieve its purpose through the following;

1. To assist and support the Mediator in all administrative matters including arranging mediation sessions.

2. To attend to and inform clients of their rights in regards to the disputes and grievance settlement mechanism under the Employment Relations Act 2007 and update customers on the status of their cases.

3. Interview grievers and take statements (Employment Relations Form 1).

4. Conduct duties related to office administration, including maintaining the registry.

5. Provide quality reports for research and efficient co -ordination and integration of periodic reports - weekly, monthly and annually.

6. Facilitate the administration of resources i.e. co -ordinate request for any new purchase, obtain quotes and proper approvals for purchases. This includes dispatching and maintaining an up - to-date record of resources and its allocation.

7. Effectively organizing all mediation events i.e., conference, trainings etc. and provide secretariat support.

8. Actively contribute to all corporate requirements of the Ministry, including planning, budgeting and human resource activities where required.

 

Knowledge & Experience

  1. 1. At least 1.5 years’ experience working in Administration/Human Resource functions and experience Employment/ Workplace Relations or similar field of work.
  2. 2. Working Knowledge of filing systems, information management and ISO 9001:2015 Quality Management Systems.
  3. 3. Good knowledge of the Employment Relations Act 2007, subsidiary regulations and the Fijian Constitution 2013.

  2. 2. To ensure transparency in all dealings and confidentiality in respect of official information at all times.
  3. 3. Ability to coordinate activities and complete tasks within required deadlines.
  4. 4. Excellent customer service approach and ability to handle complex client related issues effectively
  5. 5. Ability to communicate and interact with officials at all levels of government, workers and employer representatives.
  6. 6. Have an ability to write professionally, communicate clearly and have good interpersonal skills.
