Job Description & Skills/Qualifications Required

The University of Fiji is seeking a highly organized, proactive, and detail-oriented professional for the position of Fleet Assistant. The successful candidates will be reporting to the Vice Chancellor through the Movements Coordinator. The Fleet Assistant will be responsible for managing the transportation logistics for the University, ensuring efficiency, and compliance with institutional and regulatory policies. The role is demanding and requires the ability to work under pressure with minimal supervision. The successful candidate will be based at the Saweni Campus but may be required to work from other university sites and campuses when required.

Responsibilities:

  • Assist in scheduling and dispatching university vehicles for staff, faculty, and student transportation needs;
  • Maintain accurate logs of vehicle usage, fuel consumption, mileage, servicing schedules, and driver assignments;
  • Support the Movements Coordinator in monitoring vehicle maintenance and coordinating servicing appointments with approved vendors;
  • Conduct regular checks to ensure vehicles are clean, roadworthy, and properly equipped (first aid kits, safety tools, etc.);
  • Assist with the registration, insurance, and documentation for university-owned vehicles;
  • Respond to transport requests and communicate logistics to internal departments in a timely and professional manner;
  • Support compliance with Occupational Health & Safety (OHS) standards related to vehicle use and transport services;
  • Adhere to all traffic laws, regulations and University policies;
  • Maintain a digital and physical filing system for fleet-related documentation and reports;
  • Assist in preparing monthly reports on vehicle usage, maintenance, and associated costs;
  • Liaise with drivers to communicate daily assignments and resolve operational issues;
  • May involve occasional evening or weekend shifts based on university activities;
  • Report vehicle defects, accidents, or maintenance needs promptly to the Fleet Coordinator;
  • Fieldwork may be required (vehicle inspection, liaising with service providers); and
  • Perform other duties as assigned to support the smooth functioning of the fleet and logistics unit by either the Supervisor or Vice Chancellor.

Requirements:

  • Candidates must hold a diploma or certificate in administration, logistics, transport management, or a related field;
  • Valid Group 4 or 5 Driver’s License with a clean driving record;
  • Defensive driving certification is an added advantage with strong knowledge of traffic laws;
  • Minimum 2-3 years of relevant experience in transport/fleet administration or logistics support;
  • Experience in driving both light and heavy vehicles will be an added advantage;
  • Prior experience in an educational institution or public sector environment is desirable;
  • Strong organizational and recordkeeping skills;
  • Ability to work outside normal hours of operations including weekends and public holidays;
  • Good interpersonal and communication abilities;
  • Working knowledge of vehicle maintenance basics;
  • Proficient in MS Office Suite (Excel, Word, Outlook); and
  • Ability to work under minimal supervision and adapt to dynamic schedules.

Salary Band: $19,781.60 – $24,440.25

The University offers a three-year full-time contract with renewals subject to performance reviews.
